How Richland West SEO accesses, uses, and retains research information.

About this application

This policy covers Richland West SEO, a private research tool operated by Richland West LLC. It supports keyword research, search-performance analysis, and editorial planning for Richland West’s own websites and authorized client websites. It does not offer public registration.

Google Ads data and its use

The current Google Ads integration retrieves historical keyword metrics, including:

  • Average monthly searches.
  • Monthly search history.
  • Close keyword variants.
  • Advertising competition.

These are aggregate keyword research metrics used to assess search interest and inform editorial topics. They are distinct from search-performance reports for a particular website. Advertising competition describes competition among advertisers; it is not a measure of organic ranking difficulty.

Google Ads access is authorized through the OAuth permission https://www.googleapis.com/auth/adwords. This permission can allow viewing and managing Google Ads data. The application's implemented integration uses it to request historical keyword metrics and does not create or modify advertising campaigns.

Google Search Console data

Google Search Console may be used, with authorization, to retrieve aggregate search-query and page-performance data for authorized websites to support editorial planning.

Search Console reports would be specific to the website connected through the authorized account. This differs from the general keyword metrics retrieved through Google Ads.

AI processing and external providers

When enabled, Google Ads keyword metrics are included in research sent to OpenAI Codex for synthesis and editorial planning. When Search Console is used with authorization, its website-specific reports also enter that research synthesis.

Separate citation checks send research material to OpenRouter, which routes those checks to models from OpenAI, Anthropic, and Google. These checks help assess sources and citations used in the research workflow.

These external services process the information submitted to them. Their handling of that information is governed by the terms and data settings applicable to those services. The workflow uses provider settings that disable use of submitted material for model training.

Codex and OpenRouter do not retain submitted research material.

Storage and direct access

Research records are stored and synchronized using Microsoft cloud storage, and backups are also kept. Microsoft processes these records to provide its storage service. AI services process research material as described above.

Only the operator has direct operational access to the research files. This is separate from processing by external service providers.

Research retention and deletion requests

Richland West LLC does not apply a fixed automatic deletion period to saved research data and outputs. These records may be retained indefinitely for ongoing research and historical comparison unless deletion is requested or otherwise required.

To request deletion, contact support@richlandwest.com and identify the website or research records your request concerns. The operator personally handles these requests. Do not send passwords or authorization tokens.

Revoke Google authorization

  1. Open your Google Account connections.
  2. Select Richland West SEO.
  3. Use Google's option to remove access, then confirm your choice.

Revoking Google authorization stops future access through that authorization but does not automatically delete previously collected records. To request deletion of saved research, contact support@richlandwest.com.
